Creating a Public Share Link

You can generate a public URL for a file or folder from the Web Console and share the URL with other users. Using public share link, you can share files and folders with external users (who are not part of the CommCell group or client owners).

When the file is sent as a link, the user always receives the latest version of the file.

To access the public URL, the users do not require a Web Console account. When users access the URL, they can directly browse the shared folders and download the shared files. If the shared file is content indexed, users can see a preview of the shared file. In addition, you can set an expiry date for the URL. After the specified number of days, the URL is not accessible.

When you create a public share, you can allow secured access by setting a password for the public URL. Users are prompted to type the password to view the shared URL.

Before You Begin

Make sure you have Sharing capability assigned to your user account and the files and folders are backed up. Contact your administrator to assign the capability.

Procedure

  1. From the Web Console, go to My Data.

  2. On the left navigation pane, click the appropriate tab and navigate to the file or folder to be shared:

    • To access a file or folder on a client computer, click Computers, and then click Restore for the corresponding <Computer Name> that contains the file or folder.

Alternatively, you can click Settings for the computer containing the data that you want to restore, and click Select Files in the Restore section.

    • To access a file or folder on Edge Drive, click Drive.

    • To access a file or folder that was already shared to you, click Shared With Me..

  3. Right-click the file or folder, and then select Get Link.

Alternatively, you can select the check box next to the file or folder and click Get Public Link.

To generate a public URL for a file or folder that was shared to you, under Shared With Me, point to the file or folder and then click the Get Public Link icongetlink.

  4. The public URL to view the shared file or folder is displayed. You can copy this link and share it to other users.

  5. To allow users to upload a new version of the public shared file or upload new files under the public shared folder, click the Edit tab and share the generated URL to the users.

Using the edit enabled public shared link for a file, users can download the file, make changes to the file, and then upload the newer version to the public link location. You cannot upload files with a different name or file type.

Using the edit enabled public shared link for a folder, users can create a subfolder, upload any new files or new versions of existing files to the public link location.

The uploaded files are visible only after the files are successfully backed up on the client or Edge Drive.

  6. Optional: To set an expiry date for the URL, select Expire the link in n days, and click the n days link, where n is the number of days after which the URL is not accessible.

By default, the public URL is Never expired. You can set the days to 7 or 30 or click Custom to select a date from the calendar.

    Note

You can set different expiry dates for view and edit public URLs.

  7. Optional: To set a password for the public URL, select Only people with a password and type a password in the text box.

  8. Optional: To email the public URL as a link, in the Email this link? box, type the email address of the recipient. You can enter multiple email addresses separated by a comma (,).
